Gardeners Mottingham Health and Safety Policy

Gardeners Mottingham is committed to providing gardening, grounds maintenance and related services in a manner that protects the health, safety and welfare of our employees, clients, contractors and members of the public. We recognise that high standards of health and safety are essential to delivering reliable gardening services and to maintaining trust within the communities we serve.

Policy Statement and Objectives

The objective of this Health and Safety Policy is to prevent injury, ill health and damage to property or the environment arising from our gardening activities. We will identify and manage risks associated with tasks such as grass cutting, hedge trimming, planting, tree work, use of powered machinery, handling of garden chemicals and removing green waste.

We are committed to continual improvement in health and safety performance by reviewing working practices, updating training and ensuring that risk controls remain effective and proportionate to the work carried out.

Legal Compliance and Responsibility

Gardeners Mottingham will comply with all relevant health and safety legislation and recognised industry guidance applicable to gardening and grounds maintenance services. Directors and managers have overall responsibility for implementing this policy, providing resources and ensuring safe working systems are in place.

Supervisors are responsible for overseeing day-to-day operations on site, checking that risk assessments and safe systems of work are followed and that any problems are reported promptly. Every employee and contractor working on behalf of Gardeners Mottingham has a duty to take reasonable care of their own health and safety and that of others who may be affected by their actions.

Risk Assessment and Safe Systems of Work

We will carry out risk assessments for our gardening activities and for specific sites where we work. These assessments will consider hazards such as uneven ground, traffic, overhead services, use of sharp tools, powered equipment, exposure to noise, vibration, dust, sun and adverse weather.

Based on these assessments, we will develop and implement safe systems of work. These may include designated work areas, agreed traffic routes, restricted access around machinery, and clear procedures for starting, operating and maintaining tools and equipment. Risk assessments will be reviewed regularly and whenever there is a significant change in work methods, equipment or location.

Training, Competence and Supervision

Gardeners Mottingham will ensure that all employees receive suitable information, instruction and training for the tasks they perform. This includes induction training, safe use of machinery, manual handling, control of garden chemicals, working near roads, noise and vibration awareness, and first aid arrangements.

Specialist activities, such as tree work, use of chainsaws, powered access equipment or application of certain pesticides, will only be carried out by people who are trained, competent and authorised. Levels of supervision will be appropriate to the experience of the worker, the nature of the gardening task and the level of risk involved.

Use of Equipment and Personal Protective Equipment

All gardening tools, machinery and equipment provided by Gardeners Mottingham will be suitable for their intended purpose and maintained in safe working order. Pre-use checks and periodic inspections will be carried out and defective equipment will be taken out of service until repaired or replaced.

Personal protective equipment will be provided where risks cannot be controlled adequately by other means. This may include safety footwear, gloves, eye protection, hearing protection, high visibility clothing, hard hats and respiratory protection where appropriate. Employees are required to use the equipment provided, to look after it correctly and to report any loss or damage immediately.

Safe Handling of Substances and Waste

Where our gardening work involves the use of fertilisers, weed killers, fuels or other hazardous substances, these will be selected, stored, transported, mixed and applied in accordance with manufacturer instructions and applicable safety regulations. Suitable control measures will be implemented to prevent harm to people, pets, wildlife and the environment.

We will handle, store and dispose of green waste and other materials responsibly, keeping work areas tidy and free from unnecessary obstructions. Particular care will be taken to prevent trip hazards from hoses, tools, cables and cuttings left on paths, lawns or access routes.

Working on Client Premises and Public Areas

Many of our gardening activities take place on client premises, residential gardens and shared outdoor spaces. We will plan work to minimise disruption and risk to clients, visitors and members of the public. Where necessary, barriers, signs or temporary exclusion zones will be used to prevent access to hazardous areas.

Vehicles will be parked safely and considerately, and loading or unloading will be organised to avoid unnecessary reversing or obstruction of pavements and driveways. We will take particular care when working near roads, driveways, footpaths, schools, play areas and other locations where vulnerable people may be present.

Accident Reporting and Emergency Arrangements

All accidents, near misses and dangerous occurrences must be reported to the appropriate manager or supervisor as soon as practicable. This enables us to investigate what happened, identify root causes and take corrective action to prevent recurrence.

First aid provision suitable for gardening work will be maintained, and employees will be informed of the arrangements at each site. Emergency procedures will cover situations such as serious injury, fire, exposure to hazardous substances, contact with underground services and extreme weather. Where relevant, these procedures will be discussed with clients before work begins.

Health, Welfare and Wellbeing

Gardeners Mottingham recognises that outdoor work can expose employees to sun, heat, cold, rain and other environmental factors. We will promote measures to reduce the risk of sunburn, dehydration, heat stress, cold stress and slips in wet conditions, including appropriate clothing, breaks, hydration and modified work patterns when necessary.

We will also seek to identify and manage work-related stress and other health concerns that may be affected by gardening tasks, repetitive work, noise or vibration. Employees are encouraged to raise any health issues that could impact their ability to work safely.

Consultation, Communication and Review

We will consult with employees on health and safety matters, including new equipment, changes to working methods and findings from risk assessments. Feedback from staff and clients is welcomed and will be used to improve our arrangements.

This Health and Safety Policy will be reviewed at least annually and whenever there are significant changes to our operations, services or legal requirements. Updated versions will be communicated to employees and made available to clients on request.

By implementing this policy and maintaining a positive safety culture, Gardeners Mottingham aims to deliver high-quality gardening services while safeguarding everyone who may be affected by our work.
